145.06   PERSONNEL WITHOUT RANK.
   In the Division of Fire, there shall be, without rank, one full-time Clerk, one full-time Secretary- Record Clerk, one Clerk-Typist for the Fire Prevention Bureau, and one Clerk-Typist for the EMS Bureau, whose duties shall be as follows:
   (a)   Process all the Chief's correspondence such as letters, memos, Division of Fire orders and notices;
   (b)   Purchase requisitions; materials received slips, personal data on all members, keeping a complete file;
   (c)   Budget and appropriations forms; consolidate fire reports from all stations;
   (d)   Prepare monthly and annual fire reports; American Insurance Association reports; National Fire Protection Association reports; State Fire Marshal reports, every fire report;
   (e)   Check and file all fire alarm cards and ambulance cards;
   (f)   Type fire investigation reports; type duplimats for reports; type out application forms and permits issued by the Division of Fire, consisting at present of ten forms;
   (g)   Check inventory of gasoline and oil used by the Division of Fire; keep inventory of, and purchase all, stationery and supplies;
   (h)   File and check all injury reports pertaining to personal injuries; check and file hydrant reports;
    (i)   Keep record and file cards on all fire hose in the Division of Fire; keep record and receipts of all petty cash funds;
   (j)   Assist the Assistant Chief of Fire in typing and keeping records of sick leave time;
   (k)   Assist the Chief of Fire in keeping records of overtime; make out payroll forms;
    (l)   Issue all supplies to other stations, linens, etc.;
   (m)   Assist the Assistant Chief of Fire in typing out letters for training;
   (n)   Assist the Assistant Chief of Fire in typing out letters for information regarding new fire applicants, school, police, Cleveland Retail Credit and former employers records, etc.;
    (o)   Type tests used for training purposes;
   (p)   Assist the Bureau of Fire Prevention with posting and typing inspection sheets to master cards;
   (q)   Type all violation notices in the Bureau of Fire Prevention; assist in filing work, complaint cards, etc.;
   (r)   Contact fire insurance adjusters for loss figures on fires; assist in preparing cases for court, preparing all paper work;
   (s)   Man the Division of Fire alarm office during emergencies and, when men are out training (this includes knowledge of radio and switchboard and ability to direct proper companies to locations of emergencies);
   (t)   When so authorized by either the Chief or the Assistant Chief of Fire, to run errands to pick up Division of Fire supplies and equipment;
   (u)   Type newspaper releases.
   The Secretary-Record Clerk must have knowledge of street locations in the City and of equipment to be dispatched when operating the fire alarm office. In essence, the Secretary-Record Clerk shall do all office work and take instructions.
