125.022 MAYOR'S EXECUTIVE ASSISTANT.
   (a)   There is hereby established the full-time position of Mayor's Executive Assistant. The Mayor's Executive Assistant shall be hired to carry out the duties connected with the office of the Mayor. The Mayor's Executive Assistant reports directly to the Mayor and Chief of Staff. The Mayor's Executive Assistant will be hired by the Mayor, except for the first hire. Formal applications will be required. The primary work site for the Mayor's Executive Assistant is City Hall.
   
   (b)   Qualifications. The Mayor's Executive Assistant shall have the knowledge of and/or ability to:
      (1)   Strong communication and organizational skills required to establish effective working relationships with all City Departments, residents and the general public;
      (2)   Self-motivated
      (3)   Ability to multi-task and meet deadlines;
      (4)   Express ideas effectively orally and in writing;
      (5)   Basic financial knowledge;
      (6)   Experience in budget preparations;
      (7)   General knowledge of office equipment and computer operations;
      (8)   Willingness to work flexible hours including weekends and evenings;
   
   (c)   Scope of Responsibility. The Mayor's Executive Assistant shall be hired to carry out the duties connected with the office of the Mayor, including matters confidential in nature. The Mayor's Executive Assistant shall provide the Mayor and Chief of Staff with complete information regarding issues brought before the City. The Mayor's Executive Assistant will be responsible for developing special projects, programs and activities for the residents within the City of Seven Hills.
   (d)   General Duties. The Mayor's Executive Assistant shall perform such duties as shall be assigned by the Mayor or Chief of Staff, under the direction of the Mayor or Chief of Staff, including but not limited to the following:
      (1)   Provide effective and efficient customer service and promotes and maintains responsive community relations through oversight of the City's complaint tracking system;
      (2)   Responds to complaints received from residents, coordinates resolution with City departments and follow up to ensure satisfactory completion;
      (3)   Typing documents, reports, etc as provided and directed by the Mayor or Chief of Staff;
      (4)   Ensuring proper dissemination and retention of information and documents produced or received;   
      (5)   Maintaining files in such condition that information can be readily retrieved;
      (6)   Assist in fund raising for City sponsored events;
      (7)   Assist in researching new funding and grant sources for the City;
      (8)   As directed by the Mayor, or Chief of Staff, coordinate and/or schedule various activities;
      (9)   Responsible for running, overseeing and promoting the Farmers Market and anything associated with the functions thereof;
      (10)   Represents the Mayor and Chief of Staff with professionalism and integrity;
      (11)   Participate in cross-training of qualified individuals for the office of the Mayor's Executive Assistant;
      (12)   Facilitate the processing of public record requests and ensure satisfactory completion;
      (13)   Co-ordinate wedding ceremonies with the requesting parties and the Mayor, staging the Council Chambers, along with the collection of fees and forward such fees to the Finance Department for deposit in the proper fund;
      (14)   Performs other such duties as assigned by the Mayor or Chief of Staff.
   (e)   Compensation. The full-time Mayor's Executive Assistant shall receive as and for salary compensation for his/her full-time duties in accordance with the provisions of Section 151.091. Such annual compensation shall be paid directly to the Mayor's Executive Assistant in twenty-six substantially equal amounts, together with any other benefits as provided by Chapter 151. The hours of work shall be determined by the Mayor, however, notwithstanding any provisions to the contrary contained in this Code, the Mayor's Executive Assistant shall not be paid overtime compensation for hours worked in excess of forty hours per week.
