(a) All Employees shall accrue vacation while in active pay status, as defined in Section 151.08(g), according to the following schedule:
(1) Non-Safety Employees
01-07 years of service | 80 hours per year - 3.1 hours per pay period |
08-14 years of service | 120 hours per year - 4.6 hours per pay period |
15-24 years of service | 160 hours per year - 6.2 hours per pay period |
25 + years of service | 200 hours per year - 7.7 hours per pay period |
(2) Safety Employees
01-06 years of service | 80 hours per year - 3.1 hours per pay period |
07-14 years of service | 120 hours per year - 4.6 hours per pay period |
15-19 years of service | 160 hours per year - 6.2 hours per pay period |
20 + years of service | 200 hours per year - 7.7 hours per pay period |
(b) Employees may with the approval of the Department Head, take earned vacation on a pro-rata basis before the Employee's anniversary date.
(c) For the purposes of calculating completed service, all prior service recognized under the O.R.C. for computation of vacation credit shall be considered.
(d) Vacation leave requests must be submitted in writing to their respective Department Head for approval a minimum of one (1) week in advance; or per respective department policy. The Department Head may waive the one week advance scheduling requirement for individual day requests. Approval will be subject to the Department Head's staffing needs on the date in question.
(e) Vacation schedules shall be arranged between the Employee and the Department Head at a time that is mutually satisfactory; seniority within their Department shall be used as the basis of selection. The Department Heads may, at his/her discretion, approve a change in vacation leave selection provided no other Employee's vacation selection is disrupted. Employees recognized that the Department Heads have the authority to determine the number of Employees required for efficient operation within each department and shall determine the number of Employees that may be permitted to be on vacation leave at the same time. Vacation leave request shall not be unreasonably denied. Once vacation periods have been scheduled, the Employer shall make changes in Employee's vacation schedules only to meet staff shortages or emergencies.
(f) A schedule for selection of vacation time for Safety Employees shall be posted by the Department Head on or before January 1st of each year and each Safety Employee shall be entitled to pick by seniority within the department as to his/her desired time. Each person shall pick no more than two (2) weeks on his/her first pick and the pick shall rotate until all Safety Employees have selected their vacations. If a Safety Employee fails to make a selection within a reasonable time, the Department Head may select and assign vacation time for the Safety Employee.
(g) Upon separation or termination from the Village, an Employee is entitled to compensation for any earned but unused vacation leave credit at the time of separation. Employees may accumulate no more than two (2) years worth of vacation leave without the written permission of the City Manager. (Ord. 23-17. Passed 11-15-17.)
