§ 30.46 REPORTS.
   He or she will be responsible for the submission of the following reports:
   (A)   With the assistance as required from the Chairperson of the Maintenance Committee, he or she shall submit to the Mayor detailed reports of his or her revenues and expenditures when directed by the Mayor annually to facilitate the preparation of the annual budget. This report shall state expenses for the previous years and the estimated expenses and revenues for the next year in sufficient detail to meet the requirements of the budget process, and:
      (1)   Assign a priority to each expense anticipated; and
      (2)   Be prepared to show amortization schedules for all replacement equipment or services to include the time period to completely amortize.
   (B)   With the assistance of the Chairperson of the Maintenance Committee as required he or she shall submit to the Mayor, as directed by the Mayor, annually a recommendation for his or her departments appropriation based on any known changes in his or her budgeted expenses and revenues for the current year in sufficient detail to meet the requirements of the appropriations process. Divisions (A)(1) and (A)(2) above apply where required. If the original budget has been properly prioritized, any differences between budgeted amounts and the final appropriations may be readily reconciled;
   (C)   Submit via the Chairperson of the Maintenance Committee to the Council, by December 1 annually, written evaluation of all employees under his or her supervision. The report, as a minimum, will contain an assessment of the employee’s qualification for the position, his or her ability to conserve assets, his or her initiative, and a definite recommendation to retain or release the individual. Additional pay increases will not be approved by the Council without a special evaluation report and a positive recommendation from the Street Commissioner; and
   (D)   Submit to the Chairperson of the Maintenance Committee, on January 1 annually, a priority list of improvement and maintenance projects to be completed in the current year. This list and locations he or she will, on a monthly basis, submit to the Council at the first meeting of each month the work accomplished the previous month with reference to the yearly priority list; and estimated projects to be completed the current month. This report will contain the status of equipment and the cost of equipment repair as a separate item from equipment maintenance and fuel.
