246.03 GENERAL INFORMATION.
   (a)   Individual Personnel Files.
      (1)   Keeping personnel files up-to-date can be important with regard to pay, deductions, benefits and other matters. A change in any of the following items requires notification in writing.
         A.   Legal name.
         B.   Home address.
         C.   Home telephone number.
         D.   Person to call in case of emergency.
         E.   Number of dependents.
         F.   Marital status.
         G.   Change of beneficiary.
         H.   Driving record or status of driver's license, if operating any City vehicles or use of personal vehicle for City work.
         I.   Exemptions on employee's tax form.
         J.   School district.
      (2)   Employee personnel files are the property of the City. Employees may review the contents of their personnel file by setting up an appointment with their immediate supervisor to do so. Under the Public Records Act, personnel files are public records, subject to certain exceptions.
   (b)   Customer Relations.
      (1)   The success of the City depends upon the quality of the relationship between the City, its employees, suppliers and the general public. The public's impression of the City and their interest and willingness to participate in programs of the City is greatly formed by the people who serve them.
      (2)   The City has the following expectations of employees.
         A.   Act professionally and deal with the public in a courteous and respectful manner.
         B.   Communicate pleasantly and respectfully with other employees at all times.
         C.   Follow up on orders and questions promptly, provide professional replies to inquiries and requests, and perform all duties in an orderly manner.
   (c)   Smoking. Smoking is prohibited in all City owned buildings and vehicles. If an employee needs to smoke during working hours, they may take a short personal break (no more than five minutes), with notification to the supervisor or manager.
   (d)   Severe Weather. The City may need to have employees present, even when severe weather causes closing of privates businesses and schools. The City will use its best efforts to reduce exposure to severe weather, such as extreme heat or cold. In the event of dangerous road conditions, the City will analyze which employees are essential and may, during such occasions, excuse other employees from attendance.
