(A) The village recognizes the importance of providing essential business office services to the citizens of the village, as well as others. In furtherance of those services, the village also recognizes the importance of maintaining a petty cash fund which will not exceed an at-hand balance in excess of $500. Such petty cash funds will be maintained by the Village Clerk, which shall be kept under lock and key, and accounted for through the keeping of a written or electronic ledger and the maintenance of other records and receipts. Such records will be open for inspection upon request by a Village President, Village Trustee, or the Chief of Police. When the balance contained in the petty cash fund exceeds $500, the Clerk will notify the Village Treasurer and the Village President, who will instruct that such excess balance be deposited within the village’s General Revenue Fund within three business days after receiving such notice. The Village Treasurer and the Village Clerk shall jointly audit the petty cash fund at least once a calendar year and report their findings in writing to the Village Board as directed.
(B) (1) The fee structure for essential business office services offered are as follows:
(a) Faxes, copies, and scans: $0.25 per page for each page printed or sent electronically;
(b) Notary services for non-village residents: $5; and
(c) Fees can be waived on an individual case basis by the Village President, a Trustee, or the Chief of Police. Upon a waiver, written records shall be kept documenting the instance for which fees were waived.
(2) Note: the prices included in the above fee structure shall only apply to those documents or items brought in by private citizens who request assistance from the village. The village shall make any and all public records available pursuant to the express terms of the state’s Freedom of Information Act, subject to the statutory exemptions provided, and shall comply with the pricing requirements set forth therein.
