§ 40.12 ROOM RENTAL FEES AND OTHER CUSTOMARY CHARGES.
   The Fire Chief shall publish a schedule of fees for room rental and any other customary charges as deemed necessary. All fees collected shall be deposited in the Fire Protection Territory Fund, and an accounting of such funds shall be made in the Fire Chief’s annual report. All monies in the fund shall be subject to the applicable laws requesting handling and expenditure of public funds. The fee schedule may be reviewed each calendar year and republished by the Fire Chief, if necessary.
   (A)   Reservations for rental. Upon submittal of all required documentation, the Fire Territory designee shall review and accept or disallow the reservation.
      (1)   There shall be a damage deposit of $250 for the rental of any room in the B.F.T. Conference Center.
      (2)   There shall be a 50% reservation deposit required of the total cost, and a signed contract in order to secure the function space on a definite basis. On the occasion of an event being cancelled ten days or less before the event date, 50% of the deposit will be refunded.
      (3)   The invoice for the rental must be paid in full 48 hours prior to the event. The method of payment is cash or check.
      (4)   Each user shall have a designated individual (Responsible Party) who will complete the scheduling and registration process.
      (5)   Set-up and take-down is the responsibility of the group using the room. Cleaning of the area used will be required of the group.
   (B)   Room rental fees. The following fee schedule is hereby established by the Fire Territory for room rentals:
      (1)   Territory room (auditorium)
         (a)   Five hours      $250
         (b)   Six to ten hours   $500
      (2)   Training/meeting rooms
         (a)   Four hours      $75
         (b)   Five to ten hours   $150
      (3)   Training/meeting room use
         (a)   One to three hours   $20 per hour
      (4)   Non-profit organizations may rent a room at no charge with proof of non-profit status required, if a room is available on the date selected by the organization.
* Each room will have a charge of $100 additional for every hour over the contractual agreement.
   (C)   Equipment available and rental charges.
      (1)   Audio/video with speaker
         system            $20
      (2)   TV/VCR         $25
      (3)   Dry erase board      $10
      (4)   Flip charts available      $20
                      each
       (5)   Markers for dry erase
         board            $1.50
                         each
      (6)   Directional and
         identification signs      $5.00
                      each
   (D)   Brownsburg Fire Territory representative. A B.F.T. Representative will be available at all times a room is in use. The charge for the representative will be in effect before 8:00 a.m. and after 4:30 p.m. This payment will be made by a separate check. The representative will advise or answer any questions, making certain the event goes as planned. This staff member is not expected to provide labor assistance. ($15 per hour)
